Terms & Conditions – Rupakot Holidays
Welcome to Rupakot Holidays! Before proceeding with your booking, please read the following terms and conditions carefully. By confirming your reservation, you acknowledge and agree to these policies.
1. Booking & Payment
- All bookings must be made with Rupakot Holidays, a registered tour operator based in Nepal.
- To confirm your booking, full payment must be made online using accepted debit or credit cards.
- Any modifications to your booking must be requested in writing and may incur additional charges.
- Cancellation charges apply as follows:
- 21-30 days before departure – 25% of the total trip cost
- 10-20 days before departure – 60% of the total trip cost
- Less than 10 days before departure – No refund
2. Travel Conditions & Responsibilities
- Our tours involve adventure travel in remote regions, requiring flexibility and adaptability.
- Delays or disruptions due to weather, government regulations, natural disasters, strikes, or other unforeseen events are beyond our control.
- In such cases, we will provide suitable alternatives where possible, but refunds will only be issued after deducting incurred expenses.
3. Liability & Assistance
- We are committed to delivering the services as agreed. However, we cannot be held responsible for third-party failures or circumstances beyond our control.
- In case of injury or unforeseen issues, we will provide reasonable assistance but are not liable for compensation.
4. Optional Activities
- Any activities, excursions, or extended tours booked separately from your package are not covered under our liability. We recommend booking all activities through us for a seamless experience.
5. Data Protection
- Your personal information is handled with care and shared only as necessary for your travel arrangements or legal requirements.
6. Transportation & Cancellations
- Full payment is required for transport bookings. Cancellation policies apply as per our standard refund terms.
- If you fail to arrive at the agreed pickup location without notifying us within 48 hours, your booking will be considered canceled without a refund.
7. Travel Insurance
- Travel insurance is mandatory for all travelers. It should cover medical emergencies, baggage loss, cancellations, and emergency evacuations.
- Proof of insurance is required before your departure.
8. Itinerary Changes & Unforeseen Situations
- The itineraries provided serve as guidelines and may change due to factors such as weather conditions, flight cancellations, or other unavoidable circumstances.
- No refunds will be provided for unused services due to such changes.
9. Tour Leader’s Authority
- The tour leader, representing Rupakot Holidays, has full authority over the itinerary and group safety.
- If any participant’s behavior is deemed unsafe or disruptive, they may be asked to leave the tour without a refund.
10. Complaints & Dispute Resolution
- If you have any concerns during the tour, please notify your tour leader immediately.
- Formal complaints must be submitted in writing within 10 days of tour completion.
- Disputes will be handled in accordance with Nepalese law.
11. Traveler Responsibility & Fitness
- Adventure travel requires physical and mental preparedness. Participants must ensure they are in good health before joining.
- Any pre-existing medical conditions must be disclosed at the time of booking. Failure to do so may result in cancellation without a refund.
12. Passports & Visas
- Travelers are responsible for ensuring their passports, visas, and any required travel documents are valid and up to date.
13. Photography & Promotional Use
- Images taken during your trip may be used for marketing and promotional purposes unless you explicitly request otherwise.
14. Important Travel Advisory
- Traveling in Nepal involves unique challenges such as unpredictable weather, basic accommodations, and varying transport conditions.
- While we strive for a smooth experience, we encourage travelers to remain flexible and open-minded.
- If you are not comfortable with adventure-style travel, we advise reconsidering your participation.
